Majestri Policies
Before you commit to anything, we want you to know exactly how Majestri works. Our offering is a mixture of software that we've developed (and you use) and a set of services that we provide to you on an ongoing basis.
Our overall aim is to help as many clubs as we can, and to do this, we all need to work together in the most efficient way possible. To that end, we have developed a set of 'Policies' that outlines the best ways that you can engage with us so we can get you exactly what you need whilst at the same time not hampering other clubs who also have need of our service.
Some of the policies won't makes sense until the system completely underpins your club operations, so it's a good idea to share this document with everybody on the committee, and also refer to it often as you come to depend on us more and more. Ultimately, we want what's best for our clubs and their volunteers, so we'd encourage you to have an early read of:
topSet up your Committee
The first order of business is to set up your committee so that they can all log in and see the same Control Room that you can. It means that you can enlist everybody to help where they can with the rest of the checklist.

topRegister Club-Owned Email Addresses
To be clear, Majestri does not have a service to host club email accounts, but what we do have is a built-in register-and-assignment system so that your administrators can send emails from the system and ensure replies go to their club email account.
For the smoothest transition from year-to-year, it's much better for
club-owned email addresses to be lodged in our central register and "allocated" to people. The alternative approach is to set club email addresses against everybody's user record, which is a heck of a clean-up every year as people leave and new administrators come on board.
The ideal approach is for every user to have their own unique email address (eg. personal or named work email) set against their user record and let the register track who is using what club email.

topSend Majestri Last Season's Player/Member Register *
As part of our service, we stock your system with the people you know and love. There are many benefits to doing this step, such as giving you a target list of people to invite to your first event, as well as cutting down data entry for them. If the system already knows who they are when they register, then most of their core details will already be filled in.
We have a sophisticated process that takes that file you give us, and attempts to infer all of the families at the club. For this reason, it is vital that parent/emergency contact information is included in the file.
For our main codes of sport, we've prepared a little section of guidance - so please read carefully the instructions that apply to you.
Football (Soccer)
You can run a report in Play Football which will provide all the data we need to set you up. Check out our
Play Football Initial Data instructions on how to get that report.
Netball
A standard player report from MyNetball is all that is required to be submitted to us. Please ensure that Emergency Contact information is present on the report, particularly for minors.
Hockey
Depending on the time of year, there seems to be a different report in the OneSports system that is applicable. If it's the off-season, there seems to a separate worksheet for juniors vs. seniors vs. dual-registered players. Whatever you can get to us is fine, as long as it includes Emergency Contact information, particularly for minors.

Most of the time, you're starting out with Majestri in preparation for your next outdoor season. The main game is to get everything set up so that you can start taking registrations for next season.
With that in mind, let's at least get that event created and gain an understanding of how it all works.
topSend Majestri your Fee Rules for Next Season *
Part of our service is to build you a custom piece of software that plugs into the checkout for any event that you run.
In order to build this for you, we need to gain an understanding of all the rules that go into calculating an invoice for your members.
topBuild out your Web Site Content
If you're on a tight schedule, building out the content of your Majestri site can be done in conjunction with taking registrations.
For some clubs, they are making a fresh start and transferring content from an old site to your new Majestri site is a good opportunity to put old content through a litmus test. Ask yourself whether the old content was adding any value - were people reading it? If not, don't bring it across. The general idea is to keep your site concise and useful. People hate reading, right?

topWire up your Club Domain Name to your Majestri Site
If Majestri is going to be your club's public-facing website, then you may want to start thinking about taking your club domain name and pointing it to your new Majestri site.
We have a

topAcquire an SSL Certificate for your Club Domain Name
This step only applies if Majestri is your public-facing website and you are pointing your club domain name to your Majestri site.
In time, we are going to mandate that your site needs to be secured if you'd like to wire up your domain name, so please have a read of our guidance on SSL certificates:
topAdvise Majestri of your preferred Invoice Terms for our Subscription *
The cost of using the Majestri system is $49 per month, as outlined in our
pricing page.
Most clubs are happy to be invoiced annually in advance ($588 @ $49/month). This saves time on both sides as we're not sending you an invoice every few weeks and then having to chase it up. This is our ideal method.
If you'd prefer a shorter invoicing period, then we're more than happy to accommodate on the proviso that we're not having to chase up invoices.

topStay up-to-date with system enhancements and updates
Important announcements are always published via our internal Noticeboard (visible in the Control Room).
As cliched as it is, we've also found that Facebook is a handy mechanism to let people know what's going on. For those on your committee that are on Facebook, we highly recommend
liking our page so notifications from us appear directly in your feed.
topOngoing Majestri Support
Our preferred method for you to request support is by using our general
support@majestri.com.au email address. Each of us at Majestri receives any email that gets sent there, so the chances of you getting an immediate response are very high. We pride ourselves on our Silver Service Support, so feel free to send your questions through day or night. You never know who of us is up late working!!!
For more complicated issues, we are happy to arrange a time to talk on the phone, but we'd still prefer email to be the first port of call to set up a time for that. As the developers of the system, we take pride in the fact that we can work directly with you, the people who use the software we build, but that's just simply not sustainable for us if we're answering our phones all day.
